Regional Allocation - Check Your Numbers!

Check your region’s maximum finalist numbers carefully and then allocate awards at your regional fair accordingly. Suggesting that students or parents appeal to Youth Science Canada for an extra space after your regional fair is a poor alternative to good planning. To view your region’s maximum numbers, click CWSF Participation in the Regional Affiliation area on the left. The numbers are listed under General Fair Information.

Remember – these are finalist, not project numbers!

Regions can avoid awkward situations by simply ensuring that awards to top projects correspond with their CWSF allocation. Rather than best project, second place, third place, etc., many regions announce groups of award recipients (e.g., gold, silver bronze), with the top group going to the CWSF. It is extremely disappointing for example, for a pair of students to hear that their project finished third, but that the fourth place single project will be going to the CWSF because of allocation restrictions. Avoid placing students in this type of situation.

A reminder: Sending one member of a pair project to the CWSF violates Youth Science Canada policy 3.1.2.1, which states: “Both members of a group project are expected to participate fully in the CWSF.

Exceptions require the written approval of the NSFC Chair.” Exceptions are usually only granted in the case of illness or a significant prior commitment for one of the partners. Please note: Any region wishing to increase its CWSF participation (within its allocation) by 2 or more finalists over the previous year requires the permission of the Youth Science Canada Executive Director. This provides the option for Youth Science Canada to limit large increases by the small number of regions whose participation is currently well below their maximum.

Allocation Formula

For your information, the following table lists the CWSF finalist allocations for regions, based on their population of grade 7-12 (or equivalent) students. Beyond a population of 3500 students, each successive level represents an increase of 8600 students. Please note that the first two categories (with 3 and 4 finalists) enhance CWSF participation by small regions.

CWSF 2012 Equalized Travel Plan Fee - $950

The CWSF 2012 Equalized Travel Plan Fee is $950.00. Air travel is booked on either Air Canada or WestJet according to price. Please note that regions do not have a choice of airline.

CWSF 2012 air travel participants will arrive at Charlottetown’s International Airport and then be transported by bus to the University of Prince Edward Island (about 10 minutes). For regions assigned to surface travel located further than 200 km from Charlottetown, a combination of highway coaches and/or other commercial forms of transportation is required to limit the liability on parent or volunteer drivers, regions and Youth Science Canada. Youth Science Canada will work with regions and provincial organizations to coordinate these arrangements.

CWSF 2011 Equalized Travel Plan Credit - $25 per 2011 Participant (Excluding Ontario Finalists)

The 2011 Equalized Travel Plan had a deficit of about $24,000; however, there will be a travel credit of $25 per CWSF 2011 regional participant (all finalists and adults, excluding Ontario finalists, whose travel was paid by the Ontario government) to each participating region. This amount will be applied as a credit toward the region’s 2012 travel fees on the April invoice. (Regions that did not participate in CWSF 2011 will not receive this credit.) This means that for most CWSF 2012 participants, the travel fee will effectively be $925.

CWSF Registration Fee - $650

Youth Science Canada, in consultation with the CWSF 2012 host team, has set the registration fee at $650.00. The fee has remained at this level since 2007.

Annual Membership and Affiliation Fees

Annual membership in Youth Science Canada for regions and individuals is $50. This entitles the Member to one vote at the AGM (November) and SGM (May at the CWSF), to nominate or run for election to the Board of Directors, to receive 2 mailings during the year, and provides a small amount of support to the organization. (Individual Members are issued charitable tax receipts; regions, in general, are not.)

The affiliation fee affiliates the Regional Science Fair organization with Youth Science Canada and, together with a signed Affiliation Agreement, entitles the region to send finalists to the CWSF. This "program fee" is based on the region's grade 7-12 population, which also determines the maximum number of CWSF finalists the region can send.

FYI: Neither the membership nor the affiliation fees have increased in the past 6 years – you can't say that about many other things!
